Step 1: Map your structure (2 hours)

To reduce sync-related file loss, set a browser-first standard for staff. Where desktop apps are needed (Word/Excel), open directly from SharePoint/Teams and save back, not to Downloads.
Step 5: Teams that serve the work (not the other way around)
- Create Teams only where chat/calls/meetings are active.
- Pin the most-used SharePoint libraries as tabs.
- Add channels that match real workstreams (e.g., “Projects – Tender ABC”).
Step 6: Lifecycle & retention (keep it simple)
- “Policies” library: keep 7 years.

Step 7: Backup & recovery (non-negotiable)
SharePoint isn’t a backup. Use a proper Microsoft 365 backup to protect against accidental deletion and ransomware. Pair with a short, human-readable “How to recover a file” SOP.
